Scene 1: Welcome

Welcome to VISN, the Virtual Information Sharing Network by CaseLink. In this walkthrough, you will see how your branded portal helps your team manage client information, collect records, organize sensitive materials, and keep every file in one secure location. Clients can upload the documents you request, follow status updates, and communicate with your team from any browser, with no software to install.

Scene 2: Three problems, one place

Important documents should not be buried in email threads. Status updates should not disappear after a phone call. And when sensitive work is involved, a clean paper trail matters. VISN brings client folders, document requests, status changes, and communications into one secure place, branded as your company, so everyone knows where the work stands and where the record lives.

Scene 3: One portal, two perspectives

The same VISN platform supports both sides of the portal. Your admin team works from one view, while each client sees a separate, limited view built around their own files. Role-based access controls sit between the two. Staff members see the clients assigned to them, and permissions control messaging, status changes, notes, account access, and staff visibility.

Scene 4: What your client sees

We will begin with the client-facing side of the portal. This is the experience your clients use to log in, view their dashboard, upload documents, send messages, track status updates, and receive completed work. Every screen appears under your brand, using your logo, your portal name, and the document wording you choose in Settings.

Scene 5: Every client gets their own front door

Each client reaches the portal through a branded URL that looks like it belongs to your company. The login screen displays your logo, email and password fields, and a secure two-factor authentication step before any private information is shown. There are no shared passwords and no generic entry points. Every client enters through a protected, branded experience.

Scene 6: The client dashboard

After login, the client lands on a dashboard that gives them the current picture at a glance. Four stat cards show active matters, items in review, pending information, and completed work. Below those totals, recent activity and a quick-access list of the newest client folders appear in one view, so the client can see what needs attention without searching.

Scene 7: Inside a project file

Inside each project file, the client sees the details that matter most: key information, uploaded documents, notes, and a progress timeline. The view is organized so the file status is clear without a phone call. Documents are listed with version tracking, team notes appear in context, and everything connected to that single matter stays together in one secure place.

Scene 8: Direct communication, in the file

Messages are organized by client folder, so every conversation stays tied to the correct matter. The client can ask questions, respond to document requests, confirm delivery, or provide missing information without leaving the portal. Your team does not have to search a separate inbox to understand what was said, because the full thread remains with the file.

Scene 9: The completed deliverable

When the work is ready, the completed deliverable appears inside the portal with the supporting files and exhibits organized behind it. The client can review the finished package in the same place where the records were collected. From there, they can download a PDF copy or email the completed work directly from the portal when they are ready to share it.

Scene 10: Invoices, viewed and paid in the portal

The Billing and Payments page gives each client a simple place to view invoices and pay directly inside the portal. The client can see what was sent, what is due, and what has already been paid. Your team can track payment status without emailing attachments or chasing separate confirmations. Send it, they see it, they pay it, all in one place.

Scene 11: Submitting a new case

To open a new matter, the client completes a short intake form with the project name, key dates, description, contact details, and any optional notes. Your team receives the submission instantly. There is no intake email, fax, or phone call required. The client folder is created in the system, and the client can begin uploading documents immediately.

Scene 12: Status stays up to date

Every client folder moves through four stages: Submitted, In Review, Pending Info, and Completed. Your team updates the status as the file moves forward, and clients see the change the moment it happens. If something is missing, such as an invoice, form, updated record, or supporting file, the folder is moved to Pending Info and the client is notified automatically. That keeps follow-up clear without repeated phone calls.

Scene 13: Self-serve password reset

If a firm member forgets a password, they can reset it directly from the login screen without a support ticket or manual override. The three-step flow sends a 6-digit code to the registered email, verifies identity, and allows the user to create a new password. The process is secure, simple, and designed to take under two minutes.

Scene 14: Works everywhere, with an optional desktop app

VISN runs in any browser on any device, including desktop, tablet, and phone. There is nothing for the client to install before using the portal. On first sign-in, the user can also accept a free optional desktop app and pin it to the taskbar, Start menu, or desktop for one-click access. The layout adapts automatically to screen size.

Scene 15: Built for HIPAA compliance

Every part of VISN is designed around HIPAA requirements, including two-factor authentication, encrypted file transfer, access logs for every action, and automatic session timeout. CaseLink maintains a signed Business Associate Agreement with each subscriber, when applicable. The audit trail stays complete, the access layer stays protected, and sensitive client materials remain inside a controlled, secure environment.

Scene 16: The full client experience

Before we move to the admin side, this is the full client experience in one flow. The client logs in securely, sees active work, uploads requested documents, sends messages, receives automatic status updates, views invoices, and accesses completed deliverables. Everything stays inside your branded portal, so the client always knows where to go and what to do next.

Scene 17: Your admin page

Now we move to the admin side of VISN, where your team manages clients, document requests, cases, messages, staff, billing, directories, and white-label settings. This is where you control the client experience, including the wording clients see in the Documents Uploaded section and the custom Directory areas that are available inside the portal.

Scene 18: The admin dashboard

When your team logs in as admin, the dashboard gives a bird's-eye view of every client, every case, and every active request in the system. Stat cards show total clients, active cases, work in review, and completed cases. Below those totals, a live activity feed brings forward anything that may need your team's attention.

Scene 19: Admin project detail, full control

Inside any project file, the admin view gives your team full control from one screen. Staff can update the status, add internal notes, edit required fields, and manage documents without leaving the file. Private staff notes remain visible only to your team. Client-facing notes are handled separately, so internal work product and client communication stay clearly divided.

Scene 20: Nothing is ever lost by accident

Deleting in VISN is a soft delete, so nothing disappears by accident. Removed client accounts and client folders move to the admin Recycle Bin, where they can be restored for up to one year. Clients also have their own Recycle Bin. Files they delete are held for 90 days and can be restored by the client or by an admin.

Scene 21: Managing clients

The Clients page lists every client registered in your portal. Each card shows the company name, primary contact, active case count, and subscription status. From this page, your team can view a client's full case history, suspend access when necessary, or reset credentials. It gives admins one central place to manage client accounts without digging through separate records.

Scene 22: Managing your team

The Staff page lets admins manage everyone on the team who has portal access. You can add staff members, assign roles, and control what each person can see or do. Access is permission-based. Staff members see only the assigned cases and approved tools, such as messaging, emailing, or viewing client information. Only admins have full visibility.

Scene 23: All client threads, one view

The admin message center keeps approved client threads in one place. Staff can view and reply based on the access granted by an admin, without switching firm accounts or checking separate inboxes. Unread threads are flagged, and every message is automatically logged to the correct case record. The result is cleaner communication and a more complete file history.

Scene 24: Automated client reminders

The Client Reminders page sends automated follow-up emails when a client has a pending action, such as a document request that has gone quiet. You choose the wording and timing, and VISN handles the follow-up. Reusable wording can be built under My Templates. Every reminder is logged in the client folder, so the paper trail stays complete.
