We will begin with the client-facing side of the portal. This is the experience your clients use to log in, view their dashboard, upload documents, send messages, track status updates, and receive completed work. Each client reaches the portal through a branded URL that looks like it belongs to your company. Inside each project file, the client sees the details that matter most: key information, uploaded documents, notes, and a progress timeline. The view is organized so the file status is clear without a phone call. Documents are listed with version tracking, team notes appear in context, and everything connected to that single matter stays together in one secure place.
Messages are organized by client folder, so every conversation stays tied to the correct matter. The client can ask questions, respond to document requests, confirm delivery, or provide missing information without leaving the portal. Your team does not have to search a separate inbox to understand what was said, because the full thread remains with the file.
When the work is ready, the completed deliverable appears inside the portal with the supporting files and exhibits organized behind it. The client can review the finished package in the same place where the records were collected. From there, they can download a PDF copy or email the completed work directly from the portal when they are ready to share it.
The Billing and Payments page gives each client a simple place to view invoices and pay directly inside the portal. The client can see what was sent, what is due, and what has already been paid. To open a new matter, the client completes a short intake form with the project name, key dates, description, contact details, and any optional notes. Your team receives the submission instantly. There is no intake email, fax, or phone call required. The client folder is created in the system, and the client can begin uploading documents immediately.
Every client folder moves through four stages: Submitted, In Review, Pending Info, and Completed. Your team updates the status as the file moves forward, and clients see the change the moment it happens. If something is missing, such as an invoice, form, updated record, or supporting file, the folder is moved to Pending Info and the client is notified automatically. That keeps follow-up clear without repeated phone calls.
If a firm member forgets a password, they can reset it directly from the login screen without a support ticket or manual override. The three-step flow sends a 6-digit code to the registered email, verifies identity, and allows the user to create a new password. The process is secure, simple, and designed to take under two minutes.
VISN runs in any browser on any device, including desktop, tablet, and phone. There is nothing for the client to install before using the portal. On first sign-in, the user can also accept a free optional desktop app and pin it to the taskbar, Start menu, or desktop for one-click access. The layout adapts automatically to screen size.

When your team logs in as admin, the dashboard gives a bird's-eye view of every client, every case, and every active request in the system. Stat cards show total clients, active cases, work in review, and completed cases. Below those totals, a live activity feed brings forward anything that may need your team's attention.
Inside any project file, the admin view gives your team full control from one screen. Staff can update the status, add internal notes, edit required fields, and manage documents without leaving the file. Private staff notes remain visible only to your team. Client-facing notes are handled separately, so internal work product and client communication stay clearly divided.
Deleting in VISN is a soft delete, so nothing disappears by accident. Removed client accounts and client folders move to the admin Recycle Bin, where they can be restored for up to one year. Clients also have their own Recycle Bin. Files they delete are held for 90 days and can be restored by the client or by an admin.
The Clients page lists every client registered in your portal. Each card shows the company name, primary contact, active case count, and subscription status. From this page, your team can view a client's full case history, suspend access when necessary, or reset credentials. It gives admins one central place to manage client accounts without digging through separate records.
The Staff page lets admins manage everyone on the team who has portal access. You can add staff members, assign roles, and control what each person can see or do. Access is permission-based. Staff members see only the assigned cases and approved tools, such as messaging, emailing, or viewing client information. Only admins have full visibility.
The admin message center keeps approved client threads in one place. Staff can view and reply based on the access granted by an admin, without switching firm accounts or checking separate inboxes. Unread threads are flagged, and every message is automatically logged to the correct case record. The result is cleaner communication and a more complete file history.
The Client Reminders page sends automated follow-up emails when a client has a pending action, such as a document request that has gone quiet.
